Moving Services Agreement
Moving Charges: I understand and agree that the total bill presented to me at the completion of the move, unless otherwise quoted, is based on the actual number of hours it takes to complete multiplied by the per-hour rate currently listed on our quote for movers providing labor only work. I understand there is a minimum charge of two hours for a load or unload only job and three hours for a job requiring both loading and unloading. There will also be a 20% premium for any same-day move requests.
Add On Services: If I require furniture wrapping services, a fee of $25 per roll of 18” stretch wrap used during the course of the move will be incurred. Up to twelve moving blankets will be provided at no additional cost during the course of the move if this service is selected. More moving blankets can be requested for a fee of $10 per additional six blankets before moving day. Also, PAYNE FREE MOVING LLC provides furniture assembly and disassembly services for a flat rate of $25 per location. These fees are waived for moves involving a truck, see the next section for more details.
Truck Rentals: Upon request, PAYNE FREE MOVING LLC will rent and drive the moving vehicle for me. Cargo insurance for items that shift during transit is NOT covered under this agreement. I am responsible for ensuring the truck is packed to my satisfaction before the truck leaves. A one time truck fee of $125 is applied to all moves requiring a vehicle. This fee includes stairs, assembly/disassembly, stretch wrap, moving blankets, dollies, and straps to secure your cargo. There is no travel fee.
Overages / Unique Items: PAYNE FREE MOVING LLC charges overages in 1⁄4 hour increments. Extra charges, $50 - $75, may be accrued based on certain oversized and/or unique items. Safes, glass table tops, full size copiers, appliances, fireproof file cabinets and aquariums that are 55 gallons and larger are examples of items that will accrue a $50 extra charge. Pool tables, hot tubs, jukeboxes and marble/granite table tops are examples of items that will accrue a $75 extra charge. PAYNE FREE MOVING LLC does not offer piano moving services at this time.
Estimates: I understand that Payne Free Moving is only guaranteeing the movers for the amount of time I have chosen. If the move requires additional time, the movers can continue work at the rate defined in this agreement only if there are no other jobs scheduled immediately after my move. In the event that there is another job scheduled after my move, the movers will have to leave at the scheduled stop point. While PAYNE FREE MOVING LLC can make recommendations, I bear the sole responsibility for ensuring that I book the appropriate amount of time for my move.
Payment: During the booking process, I will be required to make a $100 deposit to secure my time slot. My move is not confirmed until this deposit is made. I understand that this deposit is non-refundable if I cancel my move within 7 days of it’s date. At the conclusion of the move, the movers will take payment in full, minus my deposit, via credit card. If my card is declined and any part of my bill remains outstanding after 14 days, I, the customer will be charged the highest rate of interest allowed by law in the state the move occurred in. If steps need to be taken to recover any outstanding amount, this agreement gives PAYNE FREE MOVING LLC the right to recover the determined amount plus interest, expenses accrued to collect monies, collection fees, reasonable attorney fees, and court costs from me. If I have asked PAYNE FREE MOVING LLC to rent a truck on my behalf, the fees associated with that rental will be billed prior to the move.
Damage Claims: If I discover damages after the move, I will notify the PAYNE FREE MOVING LLC office within 30 days of the move. PFM LLC will give a written acknowledgement of the claim within 30 days of receipt of the claim. Within 120 days, PFM LLC will:
Pay the claim, or
Decline to pay the claim, or
Make a firm compromise settlement.
If the claim is not processed or disposed of within 120 days, PFM LLC will send the claimant a written report of the status of the claim every 30 days, along with the reasons for the delay.
No damage claims will be honored until the final bill has been paid in full.
Exceptions: Although our moving staff will be as careful as possible, from time to time damages may occur. If damage is caused by our staff, at our discretion, we will: repair the item or compensate for its depreciated value. China, glass, clocks, glassware, lamps, mirrors, pictures, artwork, Flat Panel Televisions, or any other fragile articles that are not packed & unpacked by PAYNE FREE MOVING LLC will only be moved at the owner’s risk. The expectation is that all furniture we’re moving will either be wrapped with moving blankets and stretch wrap prior to our arrival or the customer will take advantage of our wrapping services once we are onsite. We are not responsible for damage to furniture that isn’t properly wrapped prior to being moved. Because the mechanical condition of electronics and appliances are unknown; we only assume responsibility for items which are mishandled or receive visible damage by our staff. We are not responsible for unprotected flooring. A prior damage assessment will be completed prior to us beginning work. PAYNE FREE MOVING LLC is not responsible for any damage that we identify prior to the move. If due to an inherent weakness in a piece of furniture (I.E. defect, prior repair, unstable construction) damage occurs, I understand that PAYNE FREE MOVING LLC will not be liable for any damage to that piece. PAYNE FREE MOVING LLC is only responsible for items in our immediate care. PAYNE FREE MOVING LLC assumes no responsibility for money, jewelry, or other valuables. Please make sure these items are safely put away before our moving crew arrives. PAYNE FREE MOVING LLC’s policy in regards to particle board/ready-to-assemble furniture: These items are not structurally created to be moved once assembled; we will not repair or replace these items in the event they are damaged during the move. If presented with a unique/unsafe moving situation, PAYNE FREE MOVING LLC is not responsible for any direct or indirect damage to items or surroundings as result of the customer’s specific request. PAYNE FREE MOVING LLC is not responsible for damage to plumbing, electrical systems, or for water damage associated with the connection or disconnection of washers and dryers.
Dispute Resolution: In the event of a dispute, PAYNE FREE MOVING LLC and I, the customer, agree to attempt to come to a reasonable agreement. If after PFM LLC gives their final answer on a claim, I am not satisfied with the results and would like to take further action, I agree to have the matter resolved through the Arbitration program of PFM LLC’s choice. The cost of Arbitration will be shared between I and PFM LLC as dictated by the Arbitrator. Information on how to contact the Arbitration program can be found here.
